Know your KPIs

Numbers tell the story of your newsletter's health, and buyers will scrutinize them carefully. Start tracking everything now, even if you're not planning to sell for a while.

Here's what you need to document consistently:

- Total subscribers and growth rate month over month

- Open rates and click-through rates for each issue

- Revenue broken down by source: ads, services, affiliate income, etc

- Unsubscribe rates and any notable spikes

Export your metrics from your email platform every month and drop them into a simple spreadsheet. 

Screenshots of your email platform's analytics dashboard are helpful, but raw CSV exports are even better because they can't be manipulated.

For sponsorships and ads, keep a running log that includes the advertiser name, what you charged, the issue date, and proof of payment. 

If you see a sudden drop in opens or a subscriber surge, note what caused it so you can explain the context later. The cleaner and more organized your data trail, the faster and smoother your sale will go.

Review Revenue and the Business Model

Where's the money? 

Reviewing a newsletter's financials is essential if your goal is to buy a revenue stream. Check the following:

1. Current revenue sources

Break down all existing income. Common sources include:

  • Sponsorships and ad placements

  • Paid subscriptions or premium tiers

  • Affiliate deals

  • Products or courses

  • Consulting or services

Get at least 12 months of financial data and separate recurring from one-off revenue.

2. Revenue stability


A newsletter that relies on one sponsor or a single client isn’t a stable business. 

Look for concentration risks. For example, if more than 30% of revenue comes from one source, you’re exposed if that advertiser, client, or product income disappears.

3. Margins and pricing models


List out the core costs:

  • Email service provider (ESP) fees

  • Writers

  • Design services

  • Admin and software costs

Calculate the profit margins and how the costs compare to similar newsletters.

4. Growth potential


Ask where revenue could grow. On Letter Trader, newsletter sellers often state the opportunities they see for growth.
